Part A. Addendum to Residential Lease Agreement
Tenant SMS Consent and AI-Call Disclosure for Maintenance Requests
The property management company named below (the “Property Manager”) has elected to enhance its maintenance line and provide its tenants the option to use Rentive. Rentive provides a 24/7 AI-enabled maintenance communications service for the Property Manager. This allows maintenance calls to be answered by an automated AI voice assistant, which takes the maintenance request, logs a ticket, and reaches the Property Manager's maintenance team. If Tenant elects to receive maintenance text messages, Rentive may use SMS texting for maintenance and repair communications for that purpose. This Addendum is incorporated into and made part of the Residential Lease Agreement (the “Lease”) between the Property Manager and the tenant or tenants identified below (each, a “Tenant”).
Property and unit (the “Premises”)
Lease commencement date
Maintenance Line (the number tenants dial)
Tenant(s)
Property Manager (legal name, DBA, contact)
Alternative maintenance contact (not recorded)
Purpose. This Addendum addresses (1) AI-assisted maintenance calls and call recording and (2) Tenant's optional consent to receive maintenance-related SMS text messages. It does not change the Lease except as expressly stated in this Addendum.
1. AI-assisted maintenance service and call recording
1.1. Service provider and limited role. The Property Manager uses Rentive, a third-party technology and communications provider, to assist with maintenance communications on the Property Manager's behalf. Rentive may receive and document maintenance requests, provide basic troubleshooting information, create or update maintenance tickets, communicate status information, and route requests to the Property Manager and its maintenance personnel or vendors.
1.2. Not the landlord or repair provider. Rentive is not the property owner, landlord, property manager, repair contractor, maintenance vendor, insurer, or guarantor of repairs. Rentive does not determine habitability, authorize repairs, or guarantee that work will be completed. Nothing in this Addendum changes the Property Manager's or owner's obligations under the Lease or applicable law.
1.3. AI disclosure and recording. Calls to the Maintenance Line may be answered by an automated AI voice assistant rather than a live person. Calls may be monitored, recorded, and transcribed to receive, triage, document, route, and follow up on maintenance requests; maintain service records; support quality assurance, safety, dispute resolution, and service improvement; and otherwise operate the maintenance communications service. At the beginning of each call, the caller receives a spoken notice that the caller is communicating with an AI assistant and that the call may be recorded. When Tenant is speaking with the assistant rather than a person, the assistant says so.
1.4. Consent and alternative channel. By checking the AI-assisted call and recording consent box in Section 7 and signing, Tenant consents to the recording and transcription of Tenant's calls to the Maintenance Line as described in this Addendum. A person who does not wish to be recorded may submit a maintenance request through the alternative maintenance contact above or another channel the Property Manager makes available. Use of another channel may affect the speed, availability, or automation of maintenance communications, but does not limit Tenant's ability to submit a maintenance request.
1.5. Emergency communications. For an immediate emergency requiring police, fire, medical, or other emergency response, Tenant must call 911 or the applicable emergency number. Tenant must not rely on Rentive to dispatch emergency services.
1.6. Information and access. Tenant will provide accurate information reasonably necessary to identify and address a maintenance issue, including the issue's location, description, and relevant access or safety information. Tenant should not provide payment-card information, government identification numbers, medical information, or other sensitive information through the Maintenance Line unless the Property Manager specifically instructs Tenant to do so. Tenant will provide safe and reasonable access, as required by the Lease and applicable law, to the Property Manager's personnel and vendors who are authorized to perform work.
2. Optional consent to maintenance text messages
2.1. Affirmative opt-in. Subject to Tenant's affirmative consent in Section 7, Tenant agrees that Rentive may send operational, maintenance-related SMS text messages on the Property Manager's behalf to the mobile number Tenant provides in Section 7. Each signer consents only for the mobile number written next to that signer's own name. Consent is not a condition of renting, entering into the Lease, or receiving maintenance services.
2.2. Permitted messages. Messages are transactional and maintenance-related only and may include: confirmation that a maintenance request was received; notice that Property Manager personnel or a vendor has been assigned; scheduling, access, troubleshooting, or follow-up communications; ticket-status updates; completion notices; and an escalation notice when the maintenance team is not immediately available. This program does not send marketing or promotional messages.
2.3. Program disclosures. Maintenance texts are sent from the sending number below (the Rentive number for the Property Manager; it may differ from the number tenants dial) and may also be sent from another number used for the same maintenance messaging program. Message frequency varies with maintenance activity; a typical tenant receives fewer than five messages per month, may receive multiple messages during an active maintenance issue, and receives none when there is no relevant activity. Message and data rates may apply. Delivery is subject to wireless-carrier conditions and is not guaranteed; carriers are not liable for delayed or undelivered messages.
Sending number
2.4. Opting out and help. Tenant may opt out at any time by replying STOP to a message; a STOP reply to the sending number is applied by the messaging system when it is received. Tenant may also reply STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, or OPTOUT, or may opt out by any other reasonable means by contacting the Property Manager at the contact information above; the Property Manager will honor such a request promptly and no later than ten business days after receipt. After opting out, Tenant may receive one confirmation message and will receive no further maintenance texts unless Tenant replies START or otherwise affirmatively re-enrolls. Tenant may reply HELP or INFO for assistance, or contact the Property Manager or support@rentive.ai.
2.5. Effect of opt-out. Opting out of maintenance texts does not waive or limit Tenant's right to submit a maintenance request or receive maintenance services. The Property Manager may communicate about maintenance through other available channels. Opting out may prevent Rentive from providing text-based scheduling, access, or status updates.
3. Mobile number and Tenant representations
Each Tenant represents that Tenant is the subscriber, customary user, or authorized user of the mobile number written next to Tenant's name in Section 7 and has authority to provide this consent. Tenant will promptly notify the Property Manager if the number changes, is reassigned, or should be removed from maintenance text communications. Tenant will not provide another person's personal information through the Maintenance Line or SMS program unless Tenant is authorized to do so.
4. Data handling and service providers
4.1. Maintenance communications data. The Property Manager and Rentive may process Tenant's mobile number, call recordings and transcripts, message content, maintenance requests, ticket history, and other information Tenant provides through the maintenance service to receive, document, route, schedule, and follow up on maintenance requests; operate and improve the maintenance communications service; maintain records; support maintenance operations; and comply with applicable law.
4.2. Property Manager direction. For data associated with the tenancy, the Property Manager determines the purposes and means of processing, and Rentive processes that information to provide services on the Property Manager's behalf. Rentive may provide relevant maintenance information to the Property Manager and to personnel or vendors involved in the request.
4.3. No marketing sale or sharing; no voiceprints. Tenant's mobile number and maintenance-communications data will not be sold or shared for marketing purposes. Rentive does not create voiceprints or other biometric identifiers from call audio. The information is also subject to the Rentive Privacy Policy and the Property Manager's privacy practices.
4.4. Independent service providers. A technician or other vendor assigned to a maintenance request is an independent contractor or service provider, not an employee or agent of Rentive. Rentive does not perform, supervise, or control repair work. The Property Manager retains responsibility for selecting, authorizing, and directing repairs under the Lease and applicable law.
5. Consent to use electronic records and signatures
Applies only if Tenant signs this Addendum electronically. By checking the electronic records and signature consent box in Section 7 and signing electronically, Tenant affirmatively consents to sign this Addendum and to receive this Addendum and related lease records electronically. Tenant is not required to sign or receive records electronically and may ask for a paper version instead. Tenant may request a paper copy at any time, at no charge, by contacting the Property Manager, and may withdraw consent to do business electronically at any time by contacting the Property Manager at the same address; withdrawal applies going forward only, does not affect records already provided, and does not by itself withdraw the elections in Sections 1 and 2. This consent covers this Addendum and the related lease records the Property Manager provides in connection with the tenancy. Tenant updates the email or contact information used for electronic records by contacting the Property Manager. To access and keep electronic records, Tenant needs a device with internet access, a current web browser, an email account, and the ability to view and save PDF files; if those requirements change in a way that creates a material risk that Tenant can no longer access or keep electronic records, the Property Manager will tell Tenant the new requirements and that Tenant may withdraw this consent at no charge.
6. Term and general terms
6.1. Term and withdrawal. This Addendum takes effect when Tenant signs and remains effective during Tenant's tenancy at the Premises unless the Property Manager ceases use of Rentive's maintenance communications service or this Addendum is otherwise terminated in writing. Withdrawal of SMS consent affects only maintenance SMS messages as provided in Section 2. Withdrawal of electronic-records consent affects only future electronic records as provided in Section 5. Tenant may stop using the Maintenance Line at any time and use another available maintenance contact method. Withdrawal of consent or termination of this Addendum does not affect the lawfulness of processing or communications occurring before withdrawal or termination.
6.2. Service limitations. Automated communications may be incomplete, delayed, or inaccurate. Rentive does not warrant that the maintenance communications service will be uninterrupted, error-free, or available at every time or from every device. Rentive may reasonably suspend or limit access to protect the security or integrity of the service, address misuse, or comply with law. Nothing in this Section relieves the Property Manager of any obligation under the Lease or applicable law.
6.3. Relationship to Lease and order of precedence. The Lease remains controlling with respect to the tenancy, including maintenance responsibilities, emergency procedures, access, habitability, and the Property Manager's obligations. If this Addendum conflicts with the Lease concerning the tenancy, the Lease controls. If this Addendum conflicts with the Property Manager's maintenance procedures solely as to Rentive communications, this Addendum controls.
6.4. Governing law; severability; no waiver. This Addendum is governed by the law governing the Lease, without regard to conflict-of-law principles. If the Lease does not specify governing law, this Addendum is governed by the law of the state where the Premises is located. If any provision of this Addendum is unenforceable, the remaining provisions remain effective to the maximum extent permitted by law. A failure by the Property Manager or Rentive to enforce a provision is not a waiver of the right to enforce that provision later.
6.5. Entire agreement concerning the communications service; recordkeeping. This Addendum, the applicable Lease, the Property Manager's identified maintenance procedures, and Rentive's Privacy Policy constitute the complete agreement between Tenant and the Property Manager concerning Rentive's maintenance communications service. Rentive is an intended third-party beneficiary of the provisions that concern Rentive's service, data processing, and limitations of role. The Property Manager keeps this signed Addendum as its consent record for at least four years after the tenancy ends and gives Tenant a copy on request. Rentive keeps only each number's opt-out status and the message log.
7. Acknowledgment, elections and signature
Each Tenant makes their own elections and signs their own block. To make an election, check the corresponding box, sign, and, for texts, write the mobile number to use. If signing electronically, also check Box 3. Declining either election does not limit Tenant's ability to submit a maintenance request through the alternative maintenance contact or another available channel. Tenant may opt out of maintenance text messages at any time as provided in Section 2.4.

Part B. One-time notice for current residents (email or paper, never a first-contact text)
AI-Answered Maintenance Line and Text Updates
Dear Resident,
We have upgraded our maintenance line. So you know what to expect, and so we have your agreement on a couple of points, please read this short notice.
B1. Your maintenance calls are now answered by an AI assistant, and are recorded
When you call our maintenance line, your call may be answered by an automated AI voice assistant rather than a live person, at any hour. The assistant takes your maintenance request, helps with basic troubleshooting, logs a ticket, and reaches our maintenance team. These calls are recorded and transcribed so we can act on your request accurately. At the start of each call, you will hear a spoken notice that you are speaking with an AI assistant and that the call may be recorded. By continuing the call after that notice, you consent to the recording. Whenever you are speaking with the assistant rather than a person, it tells you so. If you prefer not to be recorded, you can reach us through the alternative contact at the end of this notice; using it does not limit your right to have a maintenance request handled. You can also confirm in writing that you understand this, on the slip below.
The assistant is provided by Rentive, a technology and communications provider working on our behalf. Rentive is not your landlord or property manager and does not perform, authorize, or guarantee repairs; our obligations to you under your lease and the law are unchanged. For an emergency that needs police, fire, or medical response, call 911 first. Please do not give payment-card numbers, government identification numbers, or medical information through the maintenance line unless we specifically ask you to.
B2. Maintenance text-message updates
We would like to send you text-message updates about your maintenance requests (for example, that we received your request, that the team or a vendor has been assigned, scheduling or access details, and status and completion updates). These are sent by Rentive on our behalf.
- The texts are about maintenance only. No marketing or promotional messages are sent. Saying yes is not a condition of your tenancy or of maintenance service. They come from our maintenance texting number, which may differ from the number you dial.
- Message frequency depends on maintenance activity; most residents receive fewer than five messages per month, more during an active issue and none when nothing is happening.
- Message and data rates may apply. Delivery depends on your wireless carrier and is not guaranteed.
- You can reply
STOP(or STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE, OPTOUT) to any message to stop texts, orHELPor INFO for help, at any time; a STOP reply is applied as soon as it is received. You may also opt out by any reasonable means by contacting our office, and we honor those requests promptly (no more than 10 business days). You get one confirmation text and nothing further unless you reply START. Opting out will not affect your maintenance service; we will update you another way.
To start receiving maintenance texts, confirm your mobile number using one of the options below. If you do nothing, you will not be enrolled for texts, and we will continue to reach you the way we do today. By confirming, you are telling us that you are the subscriber or customary user of that number and that you will let us know if it changes.
- Reply to this email with the word YES and the mobile number you want us to use, or
- Sign and return the slip below with your mobile number, or
- Call our office during business hours and ask to be added to maintenance text updates; we will read you the points above and note the date, your number, and your yes.
B3. Privacy
Your mobile number, call recordings, transcripts and message content are handled under the Rentive Privacy Policy and our own privacy practices. We decide how that information is used and Rentive processes it on our behalf. Your number is not sold or shared for marketing, and no voiceprint is created from your calls.
