Voice AI for property management

Voice AI for property management,
built to act on every call.

Voice AI for property management is software that answers a property management company's phone calls with a conversational AI agent. A useful one does more than take a message: it screens maintenance calls for emergencies, guides troubleshooting, opens a ticket, contacts approved vendors, answers leasing questions from the company's own data, and books tours. Rentive provides two voice AI agents for residential property managers, one for maintenance calls and one for leasing calls.

Two voice AI agents.
One for maintenance, one for leasing.

Most property management calls are one of two kinds. Each agent is built for one of them, and both can share one phone number.

MMaya / Maintenance

Maya answers maintenance calls

She screens for emergencies, walks the tenant through troubleshooting, opens a structured ticket, and texts your vendors in your priority order until one accepts.

AAshley / Leasing

How voice AI handles a call.
Six steps, start to record.

  1. 01

    The call reaches the agent

Forward your existing number after hours, on overflow, or around the clock. Callers hear at the start that they are speaking with an AI assistant and that the call may be recorded.

  2. 02

    It listens and asks questions

The agent turns speech into text, understands the request, and asks follow-up questions the way a trained coordinator would. Callers can interrupt and change course.

  3. 03

    It checks your information

Known tenants are recognized from caller ID. Answers come from the properties, policies, vendor list, and tour times you approve, not from the open internet.

  4. 04

    It acts on the request

It opens a maintenance ticket, texts your vendors in priority order, captures a prospect's details, or books a tour into an open slot you configured.

  5. 05

It hands off when it should

A life-safety emergency is sent to 911 first. An unclear request, or a dispatch no vendor accepts, is flagged to your team instead of guessed.

  6. 06

    It leaves a record

Your dashboard shows call transcripts, summaries, tickets, dispatches, and leasing leads. Audio recordings are available on request.

Why property managers use it

The phone does not stop at 5pm. Voice AI keeps answering and keeps the work moving.

Nights, weekends, and busy office hours are when calls go to voicemail. A tenant with no heat calls back angrier, and a prospect books a tour with the next company. Voice AI answers each of those calls, handles what it can, and puts the rest in front of your team with the details already collected.

What voice AI should never do.
The guardrails.

  • Sends fire, gas, carbon monoxide, intruder, and medical calls to 911 before anything else
  • Answers only from information you approve, and takes a message when it does not know
  • Never invents a price, a balance, availability, or a repair time
  • Leaves screening, eligibility, and approval decisions with your team
  • Takes no payments and signs no leases
  • Flags uncertain maintenance requests for review instead of dispatching them

Guardrails matter more than the voice. Ask every vendor what their agent does when it is unsure, and test it.

What does voice AI cost?

Voice AI is usually priced per minute of call time, per call, or per door. Per-minute and per-call pricing rises with call volume. Per-door pricing stays the same in a busy month.

Rentive standard monthly price by door count, both agents included
Residential doorsMonthly price
50$299
100$300
200$600
500$1,500
1,000$2,750
2,500$6,500

$3.00 per door per month for doors 1–500 and $2.50 per door for doors 501 and up, with a $299 monthly minimum. No platform fee. Each rate applies only to the doors in that band. No setup fee or per-call charge.

How to evaluate a voice AI agent.
Eight tests to run yourself.

A demo shows the happy path. These calls show how an agent behaves when the call gets hard. Run the same tests on every vendor you consider.

  1. 1. Call at 2am from a noisy room

Background noise, speakerphone, and a tired caller are the real conditions. Listen for whether the agent keeps up and confirms what it heard.

  2. 2. Interrupt it mid-sentence

Tenants interrupt. The agent should stop, take the new information, and keep the call on track without starting over.

  3. 3. Report an emergency in the past tense

Say there was a gas smell earlier but it is fine now. A safe agent still treats it as an emergency and does not book a routine repair.

  4. 4. Describe a vague problem

Say something is wrong with the heat. Check whether it asks the right questions, and what it does when it still cannot classify the issue.

  5. 5. Ask something it should not know

Ask for a pet policy or a unit price you never provided. The right answer is a message for your team, not a guess.

  6. 6. Follow a dispatch nobody accepts

Ask what happens when the first vendor does not reply, and when none do. Confirm the timing and who on your team is alerted.

  7. 7. Read the record afterward

Ask to see the transcript, the ticket, and the dispatch status for your test call. That record is what your team works from in the morning.

  8. 8. Price it at your door count

Ask for the full monthly cost at your size, including setup, per-minute or per-call charges, and what happens in a busy month.

Maintenance and leasing included.
Priced by your door count.

$3/ door / month

First 500 doors. $2.50 per door after that.
$299 monthly minimum. No platform fee.

$300 a month at 100 doors, about 10 cents per door per day. No per-call charges, so a busy night costs the same as a quiet one.
